COMMUNICATIONS


MAIL SYSTEM

All mail is handled through the college mailroom. Incoming mail is picked up at the Post Office and received on campus once each day. It is delivered to department offices where faculty secretaries sort and place items in faculty mail boxes.

All outgoing mail is picked up daily from faculty secretaries in department offices. Outgoing mail is sent to the college's sorting company and then forwarded to the Post Office. The campus mail service is not to be used for personal mail.

RELEASE OF INFORMATION AND COMMUNICATION PROCEDURE

The Vice President for Institutional Advancement is designated by the college to handle all media inquiries and all college public relations. He/she serves as the college's spokesperson. Members of the college community wishing to share news and information with the public are urged to forward the information to the Office of the Vice President for Institutional Advancement.

In the event of an emergency, the Vice President for Institutional Advancement will work with the Campus Dean and/or the Emergency Response Team to determine the specific location to refer members of the media. Additionally, the vice president and campus dean will be responsible for providing representatives of the media with information.

OFFICIAL NOTICES

The communication of information to the internal campus community will be accomplished by the Campus Dean, the Vice President for Institutional Advancement or his/her designee.

College Briefs are official notices containing announcements and information of interest to all college personnel. These are distributed via college e-mail through the Office of the Vice President for Institutional Advancement. College Briefs are also published to the college home page.

Campus Briefs, published through the Office of the Executive/Campus Dean, contain campus-specific announcements and information of interest to the faculty and/or students of that campus. It is requested that faculty read all such notices to classes since the campus is dependent upon this means for quick communication. Such notices will be kept at a minimum so that there will be the least possible intrusion on instructional time.

GENERAL ELECTRONIC ANNOUNCEMENTS AND MESSAGES

The college uses various messaging tools to provide general information to the community. These include e-mail distribution lists and announcements appearing on the college home page and in the faculty portal. Distribution lists deliver quick, targeted communications based upon location and area of responsibility. Announcements in the faculty portal normally provide information about services and procedures. The college home page contains several delivery channels, including those for general community notices, links to press releases, College News, featured events and What's Happening. The college home page and each subsequent page provides the vehicle for the delivery of emergency notices such as messages on college closings.

TELEPHONE COMMUNICATIONS

Faculty have access to a phone in their office. While extensions are shared, each individual is provided a separate voice mail account. The college maintains directories online and within the e-mail system which includes office location, telephone number and e-mail address. Many office phones also have a directory lookup feature.

A printed college-wide telephone directory is published periodically and distributed to department offices. Additional copies can be obtained from Networking and Telecommunications. NETWORK ACCESS (e-mail, portal)

All college faculty and staff are given a network account, which provides access to e-mail, the faculty portal, directory services and an office PC. Access forms are normally completed upon hiring through Human Resources or Adjunct Services. The college uses e-mail and electronic messaging as one of its method of delivering official communications. Individuals are expected to review their e-mail and access the faculty portal on a regular basis and to maintain their e-mail accounts.
